2. The personal data we collect
Depending on how you interact with us, we may collect:
- Contact details — name, business name, email address, postal address, phone number
- Trade and order details — items or ranges you're interested in, order or quote history, delivery address
- Payment or invoicing information — where relevant to fulfilling an order (we don't store full card details ourselves)
- Form submissions — details you give us through enquiry forms on the site, such as requests for trade pricing or stockist information
- Marketing preferences — whether you've opted in or out of emails, and what you've clicked on or opened
- Correspondence — anything you send us by email, contact form, or phone
- Technical and browsing data — IP address, browser type, device information, and pages viewed, collected automatically through cookies and similar technology

5. Marketing communications
We'll only send you marketing emails if you've opted in, or if you're an existing customer and we're marketing similar products or services to those you've already bought from us (the "soft opt-in" allowed under UK law). You can opt out at any time by clicking unsubscribe in any marketing email, or by emailing hello@wearepreservers.com.
Opting out of marketing won't stop us sending you service messages, such as order confirmations or account updates.
6. Cookies
Our website is built on HubSpot, and uses cookies and similar technologies to make the site work, understand how it's used, and support marketing. This typically includes:
- Essential cookies — needed to run the site and keep it secure. These can't be switched off.
- Analytics cookies — HubSpot's own analytics cookies (such as hubspotutk and the __hstc family), which help us understand how visitors use the site and how forms perform.
- Marketing cookies — used to follow up on form submissions, personalise content, and measure marketing performance.

7. Who we share your data with
We share personal data with trusted third parties who help us run our business, including:
- HubSpot — our website builder and CRM, which hosts our site, handles form submissions, and powers our email marketing
- Our accounting software (Xero) — for invoicing and financial record keeping
- Delivery couriers, where we're shipping an order to you
- Our accountant and IT support providers, where needed to run the business

We only share what each provider needs to do their job, and we have agreements in place requiring them to keep your data secure and use it only for the purposes we've instructed.
We will never sell your personal data.

8. International transfers
Some of the providers listed above, including HubSpot, may store or process data outside the UK. Where this happens, we make sure appropriate safeguards are in place, such as standard contractual clauses approved by the UK authorities, to protect your data to the same standard as it would receive in the UK.
9. How long we keep your data
We keep personal data only as long as we need it for the purposes described in this policy. As a guide:
- Order and transaction records are kept for as long as required for tax and accounting purposes (currently six years)
- Trade account details are kept for as long as the account is active
- Marketing data is kept until you unsubscribe or ask us to remove it
- Enquiry and form submission data is kept for as long as reasonably needed to resolve the matter and for a short period afterwards
10. Data security
We use appropriate technical and organisational measures to protect your personal data against unauthorised access, loss, or misuse, including secure hosting through HubSpot and restricted access to customer data within our business. No online service can guarantee complete security, but we work to keep your data safe.
11. Your rights
Under UK GDPR, you have the right to:
- Access the personal data we hold about you
- Correct inaccurate or incomplete data
- Erase your data, in certain circumstances
- Restrict how we use your data
- Object to processing based on legitimate interest, including direct marketing
- Data portability — receive your data in a portable format, or have it transferred
- Withdraw consent at any time, where we rely on consent

If you're unhappy with how we've handled your data, you have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk or on 0303 123 1113.
12. Children
Our website is aimed at trade customers and other businesses. We don't knowingly collect personal data from children.

We may update this policy from time to time, for example if we start using a new service or our practices change. We'll post the updated version here with a new "last updated" date, and encourage you to check back periodically.
